1. Information We Collect

When you use Medical Coding Online, we collect only what is necessary to provide the service. This includes your IP address (used solely for rate limiting), and the clinical notes you submit to the code generator. We do not collect names, email addresses, or personal health information unless you contact us directly.

2. How We Use Your Data

Clinical notes submitted through the generator are sent to our AI provider for code generation and are not stored permanently on our servers. Data is used only to process your current session and is discarded immediately after a response is returned. IP addresses are stored temporarily to enforce daily usage limits and are not used for tracking or profiling.

3. HIPAA Notice

Medical Coding Online is not a HIPAA-covered entity and is not intended to serve as a HIPAA-compliant platform. We strongly recommend that you de-identify all patient information before submitting clinical notes. Do not include patient names, dates of birth, Social Security numbers, or other protected health information (PHI) in your submissions.

4. Cookies

We use minimal cookies necessary to operate the service, including session cookies for authenticated users. We do not use advertising cookies or third-party tracking cookies.

5. Third-Party Services

We use the following third-party services to operate the platform: Anthropic (AI code generation), Supabase (database), and Vercel (hosting). Each of these providers maintains their own privacy policies and data handling practices.

6. Data Retention

Usage count data (number of generations per IP per day) is retained for up to 30 days. Clinical note content is never retained. Blog and account data is retained for as long as the account is active.

7. Your Rights

You may request deletion of any data associated with your IP address or account by contacting us at support@medicalcoding.online.

8. Changes to This Policy

We may update this policy from time to time. Changes will be posted on this page with an updated date. Continued use of the service after changes constitutes acceptance of the new policy.
